The Customer Screen

A CUSTOMER is defined as someone who has bought a car from you. A PENDING SALE is someone who has committed to buying a car from you (perhaps they left a deposit.) A SOLD ORDER is someone who has ordered a car from you. All three of these types of customers will show up on the SOLD CUSTOMER screen

Please fill out this form as completely as possible for future use _especially the customer information.) Also, make sure you take great notes--you never know when you need them!

How to Log a Customer

On the menu up top, highlight SOLD CUSTOMERS and then click the customer type you would like to create.

Remember: SOLD CUSTOMER has taken delivery. PENDING SALE will take delivery (if they don't shop you that is--try to spot everyone!). SOLD ORDER is someone you have ordered a car for and will one day, month's down the line, take delivery.

Check Boxes

Opt Out Checkboxes

Noties the check boxes under the Customer Information. OPT OUT OF EMAIL needs to be checked if this person does not want to receive email from you. If you leave this unchecked, it is assumed that you have that customer's permission to contact via email. Any violation of spam laws (using this program to send unsolicited emails or emails in an unsuitable manner) will cause your account to be canceled with no refunds. Hate to be a jerk about it but the laws are serious!  OPT OUT OF MAIL: perhaps a customer moved or died--why waste stamps?  DO NOT CALL: If the customer is on the DO NOT CALL LIST you only have a certain amount of time where you can contact them (check your local laws.) Otherwise, you risk a fine if you call them and they turn you in.  VEHICLE STILL OWNED: If someone sells a vehicle or wrecks it, unchedk this.

Customer Sales Process

The check boxes on the upper right hand of the screen are very important to FollowUpCRM. It tells what status the customer is to being sold by you. PHONE UP means you got them as a phone up. INTERNET is an internet lead. SHOWROOM means they physically visited the lot. Why is this important? Well, if you have a PHONE UP or INTERNET lead who hasn't visited the lot--you can follow up via the QUICK LINKS on the main screen to get them to show up. T-O TO MANAGER: We don't T-O, right? Not in the car business! You are costing yourself sales if you don't. I have 14 years of sales under my belt and I still T-O to my boss and guess what--he has made me several thousand dollars in the last 2 months alone! BE-BACK is someone who left that you got back (with a 50% closing ratio!) SPLIT DEAL is a deal that you are sharing with another car salesperson. PENDING SALE is someone who has left a deposit or otherwise committed to buying a car from you. ORDERED VEHICLE is--well, you should know what it is.

Customer Contact History

Keep track of your contact history and you will sell more cars. Why is this so? Well, if a customer tells you about "Jimmy's Ball Game" you can ask them about the game the next time you talk to them and build rapport on a grand scale. FollowUpCRM automatically keeps track of when you send letters and emails as well.

How to Complete a Phone Call

Remember the quick links on the main screen? There was one that showed phone calls to make.

Click the number next to PHONE CALLS TO MAKE

List of Customers to Call

You will then see a list of customers to call. Click the name of customer that you wish to call.

Complete the phone call

Once you actually get a hold of the customer, put the contact info in and then click COMPLETE PHONE CALL. The button will then disappear and their call will no longer be on the quick links. This is great and will insure that you never forget to call a customer again. You can SCHEDULE PHONE CALL at any time for a customer by clicking the button up top.
