The Main Screen

FollowUpCRM is a very powerful, yet simple-to-use program. I have tried to create it so even my dog can understand it but sometimes I think differently than my dog so...please read this entire tutorial so you can hopefully understand what I had in mind with a certain design or feature.

This is the heart and soul of FollowUpCRM.com.  On the top is the menu bar where you can log customers and prospects, create follow up, use the word processor, etc.


To log a "Sold Customer", move the mouse over the SOLD CUSTOMERS menu and select what kind of sold customer you would like to create.

A SOLD CUSTOMER is someone who has taken delivery of a car. A PENDING SALE is someone who may have left a deposit--they will be taking delivery of a car. A SOLD ORDER is someone you have ordered a car for. Once the ordered vehicle comes in or the pending sale takes delivery, convert them to a sold customer by clicking the SOLD check box on the customer screen.

The PROSPECTS MENU is very similar. A PROSPECT is defined as someone who has visited your dealership. You have not sold them yet. A PHONE UP is someone who has called about a car but has not visited the dealership. An INTERNET LEAD is someone who has enquired about a car over the internet but has not visited the lot. A WANT LIST is someone who is looking for something specific that you don't have. This allows you to follow up with them to hopefully get them back on the lot to sell. A MAILING LIST is someone you just want to follow-up with. They may or may not be in the market for a car. A good example would be a service customer or an orphan owner.

Notice that when you log customers, sold orders, pending sales or hot prospects, they will show up on the lists on the main screen. Click the customer's name to view their customer or prospect screen. By the way--a HOT PROSPECT is someone that you are in the process of working right now. This makes it easy to see all of your working deals every morning to plan your day.

QUICK LINKS allow you to quickly get a count of certain types of customers and prospects. If you click the number next to the item, you will get a list of those customers. From that list, you can send emails, print letters, click on individuals and more. Notice the INTERNET 2 DAYS and SOLD 45 DAYS.  What this is is a reminder to call certain types of customers every certain amount of days. When you contact a customer--either by phone, email or mail, it automatically resents their count so they will not show back up on the list until those days pass again.This feature will insure that you follow-up with EVERYONE and it will help you sell more cars.

You set the number of days in your SETTINGS. I have some of the default values in there that I use. I've never been a big fan of calling someone every day until the "Buy or Die" (unless they are very hot and in the market) but I do like to call prospects every couple of days.


The To-Do List

The last thing I'm going to talk about in this tutorial is the TO-DO LIST. You can put anything here--such as an important delivery, a note to go the the dentist--anything.

Step 1: Click to access your to do list.

Create to do item

Step 2: Create the item. You can change the date by clicking on the calendar. Note that you can rank items by importance.

To Do Item

Your item now shows up on the To-Do List with the most important ones up top. Click delete once it is done. You can leave something up forever if you don't delete it--like "Do my Follow-Up Today" for example.
